Editorial Office Support
EDITORIAL OFFICE SUPPORT
A managing editor's workload, without the hire
Trained editorial staff handling triage, reviewer chasing, author correspondence and ethics case administration for your journal — working inside your systems, under your policies, reporting to your editors.
Editors resign over admin, not over scholarship
The unpaid academic serving as your editor-in-chief did not sign up to send fourth reminders to unresponsive reviewers, explain APC waivers to anxious PhD students, or reconstruct who agreed to what three months ago. But that’s where the hours go — and it’s why editorial boards burn out and turnaround times slip.
Amplionix staffs that layer. We run the desk day to day so your editors spend their time on the decisions only they can make.
What we handle
Submission triage
Every new manuscript checked for scope, completeness, formatting and policy compliance within 48 hours, then routed to the right editor with a summary.
Reviewer coordination
Sourcing candidates, sending invitations, chasing non-responders, reassigning when needed and keeping your editors informed without them having to ask.
Author correspondence
Status queries, revision instructions, decision letters and APC questions answered promptly in your journal’s voice, with escalation rules you set.
Ethics case administration
Plagiarism flags, authorship disputes, correction and retraction requests documented and progressed through your COPE-aligned procedure.
Board & committee support
Meeting scheduling, agendas, minutes, board records and the reports your editorial board asks for before every meeting.
Reporting
Weekly pipeline status and monthly metrics — submissions, acceptance rate, turnaround times, reviewer performance — in a format your board can read.
How we work with your team
Your policies, not ours
We operate inside your editorial policies and escalation rules. Where they’re undocumented, we help write them down first.
Named staff
You get specific people who learn your journal, not a rotating pool or a shared ticket queue.
Your systems
We work inside your existing platform and email domain, so authors and reviewers see your journal, not a vendor.
Your decisions
Acceptance, rejection, scope and ethics outcomes stay entirely with your editors and board. We prepare and administer; we never decide.
Coverage across time zones
Handover windows keep manuscripts moving while your office is closed.
How it works
1
Discovery call
We review your submission volume, current turnaround times, policies and where the queue is actually stalling, then scope the coverage you need and price it.
2
Onboard and document
We learn your workflow, document undocumented steps, agree escalation rules and run a supervised handover period alongside your team.
3
Run and report
The desk runs day to day with a named contact, weekly status and monthly metrics, scaling coverage up or down as your volume moves.
We staff our own desks too
Amplionix operates its own peer-reviewed open access journals, including JATIR, running since 2014. The triage checklists, reminder sequences and ethics templates we’d bring to your journal are the ones we use on ours — refined against real reviewer drop-off and real complaint cases, not written for a pitch deck.

Your board decides
every editorial outcome, always
Handled under NDA, logged end to end
Unpublished manuscripts, reviewer identities and author records are confidential. Our staff work under signed NDAs with least-privilege access to your systems, and every action is logged — so you can show who accessed what, and when. Access is revoked immediately when an engagement ends.
Flat monthly, scoped to volume
Editorial office support runs on a monthly retainer scoped to submission volume and the hours of coverage you need. No per-manuscript charges, no hourly billing, and no minimum multi-year commitment. You’ll have the number before we start.
FAQ
We work inside your systems and your email domain as your editorial office. Many publishers disclose the arrangement in their policies, and we’ll help you word it if you want to.
No. We prepare, administer and document. Acceptance, rejection and ethics outcomes belong to your editors and board.
Common, and it’s part of onboarding. We document what your editors do in practice, then get it approved by your board so it’s defensible.
Yes. Most engagements start with a single title and expand once the process is proven.
Onboarding usually runs two to four weeks, including a supervised handover period. Nothing goes unattended during the switch.
